Introduction:
The purpose of this guide is to explain how to check in new and existing patients at the Richard Thompson Rehabilitation Center. I am currently a student at Ferris State University studying Healthcare Systems Administration. During my time at Ferris I have gained the knowledge and experience necessary to guide someone through this process.
Purpose:
To learn the required steps that must be taken by the front office staff when patients arrive at the Richard Thompson Rehabilitation Center (RTRC) in order to record them as checked in for their appointment. To learn how to obtain personal and financial information from RTRC patients in an efficient and respectful manner.

If any changes in coverage or provider have occurred since the patient’s last appointment, the patient will need to indicate those changes on their face sheet. If it is the patients first time visiting RTRC or if the patient has Medicare or Medicaid the front desk staff must make a photocopy of their insurance card. Medicare and Medicaid are the only types of insurance that need to have copy attached to the patient’s chart for each visit.

Patient Face Sheet Verification
The face sheet (pictured below) should be printed and handed to the patient when they begin the check-in process so they can verify their information. It is important to make sure the patient reviews the demographic information listed on the face sheet, and indicate if any changes need to be made. Once the patient verifies all of the information is correct you need to sign the bottom of the form. Items that the patient needs to verify are:
• Name
• Address
• Phone Number
• Date of Birth

Once all the changes have been entered, select the update button on the lower right hand side of the screen.
Check-In Patient
After the patient has signed in and their face sheet has be verified they should be marked as arrived.
1. To check-in the patient, select “Patient Management” from the list of office functions located on the main menu.
2. Then, enter the patient’s name and select “Schedule Appointment” from the menu on the left hand side of the screen.
3. Next, select “Patient” from the display schedule menu on the left hand side of the page.
4. Select the desired appointment and then select “Check-In.”
Patient Co-Pay
As stated before it is important to collect a patient’s co-pay prior to their scheduled appointment. Even though patients may receive services during their visit, which could result in additional payment due when the patient checks out, they still need to pay their co-pay before their appointment.
Patient Waiting Time for Scheduled Appointments
Once the patient check-in process has been completed, direct the patient to have a seat in RTRCs waiting room, and that a nurse or medical assistant will call them back shortly. This would also be the time to notify patients if there will be any
