Non Conformances In The Workplace

In my line of occupation non-conformances occur all the time within the Quality department. When a non-conformance arises the discoveries need to be documented in a certain manner, especially, when working under the guidelines provided by the FDA. It is vital that the documentation is accurate and spot-on. My role in the organization is to manage non-conformances, decide which actions should be taken and to provide specific instructions to the colleagues executing the tasks. With that said, there is one incident that stands out where communication between colleagues and myself was ineffective. This incident, although considered minor to some was extremely important. This assertation will address why the communication was ineffective, at what stage the communication was problematic, how information was filtered and how I as a leader could have handled this incident more effectively.

A non-conformance occurred related to the manufacturing of our product. Once the non-conformance was identified I held a meeting with the colleagues assigned to perform the rework activities. Throughout the discussion, I provided detailed instructions on how to properly rework the product, how to document the defects. By the end of the discussion all colleagues lead me to believe

However, while standing in my office I began question the colleagues. Through this process I found out that the colleagues interpreted my terminology in their own way, transforming my words into something they were more familiar with. Failing to understand the terminology I used coupled with the colleagues not asking questions caused issues when completing tasks assigned to them.
