It is important to ease reading of written communication for the recipient of the message. If it is not easy to read the message, the chances are that the readers will not read it. To ease reading, there are several strategies which I can employ in my writing:
Provide a short, descriptive subject line. According to Mayfield (2016), a receiver of an email decides whether the email is important or not based on the subject line of that email. Therefore, the subject line should be clear and compelling for the recipient to be interested in opening it to read the content. When searching for emails, business professionals often use the subject line. Without a descriptive subject line, they may miss the message. Good subjects are usually about five to ten words long (Mayfield and Mayfield, 2016).
Keeping message brief yet complete. The central message of writing should be found within the first three or four sentences of the email, and the writings should not be more than half size of the business document. Email may provoke neutrality effect or the negativity effects. Neutrality effect is when the recipient is when the recipient does not take the intended emotion into consideration hence that emotion becomes neutral. For instance, the sender may want the recipient to ‘hear' the enthusiasm in the message, but in the decoding process, the recipient does not ‘hear' that enthusiasm. On the other hand, negative effect refers to when what sender intends to be neutral is perceived as negative by the recipient. The effects of emotional inaccuracy due to the neutrality and negativity effects can lead to conflict escalation, confusion, and anxiety.
