List and explain 3 types of numbering systems and give one advantage and disadvantage for each.

UNIT NUMBERING :: the patient is assigned a patient number and is re assigned that same number for all subsequent admissions and encounters.

Adv:: patient records are filed in 1 location.

Dis:: computer software has to be purchased.

SERIAL NUMBERING :: each time the patient is registered, a new patient number is given by the provider and a new patient record is created.

Adv:: computer software isn't needed.

Dis:: patient files are filed in different locations.

SERIAL-UNIT NUMBERING:: patients receive a new number each time they are registered by the facility and records from a previous admission or encounter are reassigned the new number.

Adv:: previous records are brought forward to the new number that they are assigned.

Dis:: folders can become thick and cumbersome.

Compare and contrast 4 types of filing systems and give one advantage and disadvantage for each.

The alphabetic filing system is different from the numeric filing systems, which contains the straight numeric filing, terminal digit filing, and middle digit filing. The numeric filing systems all file according to numbers. And the alphabetic files according to characters. And the numeric filing systems, they all require health care facilities to first adopt a numbering system.

ALPHABETIC FILING SYSTEM:

Adv:: easy to learn

Dis:: patient names must be spelled correctly or the entire system will fail. STRAIGHT NUMERIC FILING:

Adv:: office staff can be easily and quickly trained.

Dis:: msifiles increases as the number of digits increases.

TERMINAL DIGIT FILING:

Adv:: provides a high degree of record security as compared with other filing systems.

Dis:: training time for staff is lengthier.

MIDDLE DIGIT FILING:

Adv:: provides a high degree of record security

Dis:: training time for staff is lengthier

Discuss the rationale behind the correct and timely filing of charts

A well organized numbering and filing system is essential to the effective storage and retrieval of patient records.

Describe the purpose of out guides and outfolders to maintain organization.

The purpose of this is to save the spot in which the folder was taken out. This way they dont waste unnecessary time charting it.
