What's project management SOP?

- Internal Office SOP


- External SOP (client, consultant)


- Sire SOP (contractor, supllier)

Establish procedure within office

- Define Qualoty Assurance Sysytem


- Task during contract period (site inspection, issueing meeting, conducting meeting, submission to LA,...)


- Who's going to responsible for them? (you, colleagues, director,...)

- Client may request Architect to discuss (other proposed variation & obtain approval for their issue, particularly where the changes are not necessary for the completion of the project)

Establish procedure for Consultant

- If your consultants are providing inspection services, you NEED to integrate their inspection, instruction, variations and report with you systems


- Architect is the head of consultance & responsible to the client for administration of the contract


- MUST have a system to Control the issue of instructioms to the builder by 3rd Party (inc. CLIENT) so all instruction are issued inaccordance to Contract Provisions


- May NOT want the consultant repost DIRECT to the client, so should agree with the consultants the appropriate method of reporting

What are client consultant meeting

- Monitor & Discuss progress of Design Development Schedule


- To highlight any design matter, inc. Finishes, which require client's confirmation


- Monitor discuss project costing


- Repost status of approval from plan submission to LA


- Discuss & Agree on overall project implementation schedue to determine WHEN to call any tenders


- Discuss & Agree a tentative date of physical work commencement on site


- Highlight Desing Problem with consultants

What's Contractor/Builder?

- MUST act on instruction from the Architect


- May Claim Costs where these instructions vary the cost of works


- Set up cleas communication & procedures at the beginning of construction phase

Representative of Contractor/Builder

- Nominate a person in the organisation has the authority to receive instruction & to make undertaking on behalf of the Builder


- Make sure you issue your instruction to these people for your instructions to have authority


- Ideally the least of member you deal with is better

Site Meeting of Contractor/Builder

- Held regularly basis


- Generally conduct by Builder, Architect, Consultants and Client


- Discuss (progress, problem, cost, variations, quality,...)


- Sub-constractor to discuss on technical matter (usually consuct seperate meeting with sub-contractor & tender)


- Meeting minutes to kept & distributes to ALL attendees


- Programme (most contract require builder to produce a construction programme early in the project & submit copies to the Architect)


- Progress Payment (regularly intervals usually monthly the Builder will submit a progress claim for payment for work carried out since last claim, Contractor/Builder should assess whether the amount of work claimed is done)


- Architect issue a 'Certificate of Payment' to client & builder specifying amount the Architect believe the builder is entitled to be paid (these contract requires the client to pay this amount, wheter or not the client agrees with you assessment)

Site Attendance Protocol

- Builder's Responsibility for the site & work during construction period


- Ensure the site work are secure & safe working environment


- Industrial site may require an induction course, where to issue safety, access, industrial relations, protocol,... That particular to that site



- Visitor on site should report to the Builder's staff member who is reponsible for the site


- The protocol is to let the Builder know who is on the site, important work require emergency evacuation


- Necessary for the Builder's insurance cover

Safety Clothing & Movement Around Site

- Standard dress for site visitor vary with the nature of the project, location of site, industrial agreements in place or factors


- Most site require a Safety Helmet, Stout Footwear, Safery Glasses & Clothing (gives reasonable protection to the skin)


- Some site additionally require long sleeves shirts & long trousers



- care must be taken when moving around site (loose scaffold planks, unsecured ladders, unprotedted holes, unfixed sheeting & material falling from height are hazzard which should be avoid)


- As an Architect for the project, required to adcise builder of any hazzard you notice when you are on site. (inc. Unsafe work pracrices & hazzardous power cable & equipment)

Black: Supervisors


Orange: Slinger


White: Site Manager


Blue: Visitor, Architect,...


Green: First aid


Red: Gire Marshal


Pink: Punishment of not wearing safety helmet

One point of contact

- Never straight contact to the sub-contractor/anyone on site


- Not to give any instructions


- Report you instruction & conversation ONLY with the Builder's Representative


- Keep One point of contact to ensure that not caught up disputr with several parties (not to messed up information)

Site Inspection

- Important part of contract administration


- Visit site regularly to inspect work


- Ensure work are carried out generally accordance to the contract documents


- Normally it is Not your job to ensure the work on site is carry out all time out, but it is your responsibility of an Architect


- Should arrange for the work to be inspected as it is done


- Exp. : RC casting period 3 days


External Site Visit

- Builder's representative can meet you on site & accompany during impection


- Allow discussion of any aspects of the works & other matter


- It is benificia to visit site random, so that your presence are not predictable

Paper Diary Process

Keep record on the project file of each site visit:
