Release of information is the process of disclosing patient-identifiable information from the health record. These functions are the duty of the health information management specialist and their copy service BACTES (see Appendix DD). The copying services originally was HealthPort until March 2016. I will be discussing HealthPort operations in this paper, even though the service is the same only a different name. The timeframe for a record release from the department to another facility via fax is daily at 10am and 3pm. The HealthPort member was schedule to work on Tuesdays and Thursdays with flexible hours to release information. HealthPort position title is called the Area Client Service Representative. The associate is responsible for safeguarding and protecting the patient’s right to privacy by ensuring that only authorized individuals have access to the patient’s medical information and that all releases of information are in compliance with the request, authorization, company policy and HIPAA regulations at all times. The Medical Records department processes are less stringent. The Health Information Management Specialist will handle the one year or less requests for free and quick service. The patient or other facilities have to submit an authorization/release/cover sheet in order for Medical Records to complete a request.
