what is data?

this is a printed or written paper based item used to collect, store or share data

what is a a turnaround document?

a printed document that has been outputted from a computer system to have extra information added then inputted or to become a input document

what is a human readable document? give examples

a document that can be read by a human but isn't in a form that can be accepted as input by a machine. eg

what is a machine readable document? give examples

a document that can be read drectly and understood by computer systems. eg barcodes, qr codes, disk drives, sensors

what is a hard copy?

hard copy is output in printed form

what is a soft copy?

electronic version of a document which can be opened and edited on a software program

what is data integrity and what does GIGO mean?

the degree to which data is correct. garbage in garbage out



what is the reliability of information?

the degree to which the content of the information can be depended on to be accurate

what are the four characteristics of reliability? explain them

authencity - if the information is true or false)


lack of bias - information has been fairly judged not influenced by personal opinions)


currency - information is not out of date


relevance - info is connected to its use

what is data verification?

the process by which an individual carries out a check to see if the information entered by another is correct. dv is a human process

what are the two common errors?

typographical (a typing error like a missing letter) and transpositional error (the switching position of 2 adjacent characters 5460 = 5640)

two main methods of verification are?

double entry (requires the data be entered twice by two different clerks then checking to see if it is identical)and proofreading(data entry clerk checking the source document against the data inputted by another clerk ).

what is data validation?

the process of comparing data with a set of rules to find if the data is correct. data validation is an automatic process done by software

what are the types of data validation? explain them

range check - the data value within the expected range


data type check - the data matches the data type (colour=text, length=number)


consistency check - does the data type relate to or contradict the other data?


reasonableness check - ensures the data conforms to specific criteria (it is unreasonable for a person to become a driver w/o a drivers' licence)


presence check - all fields mark 'required' must have something in them


format check - does the data conform to the format? (date must be dd/mm/yyyy)


length check - is the data of the correct length? (year must be 4 digits)
