Reservations are required for Fire Facility community rooms and classrooms in order to ensure a location for conducting educational and training classes




Every effort is made to avoid scheduling conflicts.

Room reservation guidelines that apply to all Fire Facilities are as follows:

• Alcohol is strictly prohibited.


• Smoking is allowed only in designated areas outside of the building (the side of the building near the generator).


• Community room and/or classroom users are responsible for any damages that occur as a result of negligence or abuse.


• Group should ensure that children are properly supervised at all times.


• Religious organizations and groups are welcome to utilize the community room and/or classroom to conduct meetings, but religious services cannot be scheduled or conducted.


• The Group utilizing the community room and/or classroom is responsible for returning the room to its original condition upon completion of a meeting.


• Fire Facilities cannot be utilized for selling products, services, fund raisers, etc. It is against County policy to utilize county property for personal profit.


• The Fire Department reserves the right to cancel an event or program at any time if reasonably deemed to be in the best interest of the Fire Department.


• The Fire Department Community rooms are not available for business or commercial purposes.

Guidelines for reserving Fire Station Community Rooms

• Contact the Company Officer at the station by phone or in person. The Company Officer should be notified as soon as possible if the reservation is no longer needed or if there are changes to the request.


• The Company Officer will complete the Community Room Reservation and Use Guidelines Form (FD-45).


• Provide the date, time, purpose, and requestors name making the reservation.


• Provide contact information (name, telephone number, emergency telephone number, and fax number). The FD-45 will be faxed to the requestor, if a fax number is available.


• If the request is received at Fire Headquarters handle as follows:




o If by phone, transfer the call to the appropriate station.


o If in person, provide the street address of the station to the requestor. Also offer to call the station and have the requestor speak to the Company Officer.




• The community room area generally includes the room itself, the restroom(s), and hallways. The Group should remain in these designated areas during their visit.


• No food or drinks are allowed in the Fire Station Community Rooms.


• The use of Fire Station Community Rooms is limited to one session per month, per organization.- 2 -


• If Fire personnel must leave during the visit, personnel will lock and secure all areas of the station with the exception of the community room and immediate area.

Guidelines for reserving the Fire Administration Community Room and/or Classrooms:

• Community room/classroom reservations should be directed to the Receptionist.


• Confirmation will be e-mailed or faxed to the requestor confirming which rooms are reserved, date, time, and purpose.


• The Receptionist should be notified as soon as possible if the reservation is no longer needed.


• The person making the reservation, or their designee, is responsible for:




* Ensuring that food, beverages, etc., are not left in the room overnight.


* Returning the room to its original condition at the end of each day unless other arrangements have been made.


* Ensuring that attendees are aware that the designated smoking area is on the side of the building near the generator.


* Ensuring that all debris is gathered and disposed of properly at the end of each session.


* Ensuring that any equipment left for the next day is secured. The Fire Department is not responsible for any personal or business property/equipment left on site.


* Ensuring sufficient copies are available for the attendees prior to arrival at the Fire Administration Building.




• It will be the responsibility of the host party to furnish coffee and coffee maker as well as any condiments, cups, etc. These items are not available at the Fire Administration Building.


• A soft drink machine, snack machine, and ice machine (if needed for coolers) are available in the employee break room.


• If food is brought in, it is the responsibility of the host party to ensure the eating area (classroom, community room, employee break room, etc.) is cleaned up upon completion of the meal/event.
