An interoffice memo is one way that a manager or anyone else sends information to others in the same office. In order to communicate effectively, there must be a meeting of the minds. The definition is communication is the ‘transmission of information and meaning from a sender to a receiver’ (Guffey & Loewy, 2014, p.122). How can we do this?
There are five necessary steps to ensure effective communication:
1. Sender has idea
2. Sender encodes message
3. Sender selects channel and transmits message
4. Receiver decodes message
5. Feedback returns to sender

Once there is an idea, the sender must decide how to compose the message. The next step is to select a channel that will be the most effective way to communicate the message. The correct channel can make all the difference in effective communication. When the receivers get the message, they must understand the message. The feedback returned to the senders lets them know whether the message was clear or not.
The memo written to the employees had some major problems. The tone of the memo was one of anger. It sounded like parents yelling at their children for doing something bad. It was not at all appropriate for an office memo. It was demeaning, disrespectful, and very unprofessional. If I were the recipient of this memo, it would make me feel uncomfortable. The pitch of this memo only promotes bad feelings among the office workers.
This memo contains some communication barriers. Emotions are strong in the wording, making the receivers interpret the message as something very bad. Another problem with the memo is the time constraints. To reword this memo effectively, we must change the emotional tone and alter the time constraints.
