1. What background knowledge is known about the problem? Admissions/Enrollment, financial aid, and cashier all have their own department and each have at least one manager who runs it. From what I know, some general information/updates gets related to employees directly from district (via employees email), although most of those are information that also get related to students via their student email. The inside information or policy changes (i.e., update in what kind of document are accepted for in-state residency) will get through the dean of the enrollment service first from district, then it will get back to my managers, and back to everyone else (supposedly). If it’s just an independent school project (i.e., one-stop policy; students only have to make one stop to get all their questions answers/problem resolved. So getting admitted, questions about financial aid, enrolling into classes and payment are done at one station), the dean will have a meeting with our managers and they will in turn tell us (front counter people) what to do via another [staff] meeting. A problem is that the meeting is fix at a set time on a certain day, and not everyone can attend the meeting. Majority of updates are sent via email, and that’s only when things go horribly wrong. …show more content…
What are the available actions or strategies for working on the problem? 1) Come up with a better way to relay updates in information or policies. Emails work quite nicely, but for those who doesn’t check them, it’s a lost cause. Meetings are important, but it doesn’t do any good if half the office doesn’t show up because they come in later in the day. So why not combine both? A designated someone will take notes - questions posed, answers, and inquiries - and will generate an email to be sent to everyone, including those that didn’t attend. 2) Keep doing what I’m doing, which is going back to their respective office every so often and inquire about any
