P1. Explain how organisations use information
Purpose of Information within an organisation
The purpose of information within an organisation is to offer operational support; this use of information as operational support helps an establishment make decisions when operating under time restrictions, it can also be used to support and control duties. An example of this could be, for example, reminding an employee of their work deadlines or ensuring they are aware of an ideal time frame for work completion. (This is explained further later)
Information can also be used in aid of analysis for example within an organisation different types of data will be analysed; such as sales forecasts and other organisational data to ensure that the organisation

They do this by not only providing the essential data needed in order to make a well informed decision that would benefit the organisation but also if a problem then occurs the organisation can look at the data in order to find a solution to the problem using the information that is accessible to them an example of this is if an establishment were to decide that they wanted to close down a specific division of their organisation then they could look at the figures for how useful the department is in terms of aiding the overall success and running of the organisation using this information to help them decide what is best for the organisation’s overall success and survival . Decision making is a vital part involved in the building of a successful organisation. There are several factors involved in practical decision making.

• Operational - these types of decisions are usually executed by those in managerial positions and are usually used for promoting the organisation on a short-term basis. An example of this could be if a leader of a store were to make a decision to give a reimbursement to an unsatisfied customer; this could be useful in the short term as it resolves the problem immediately and can be worthwhile as it prevents any more issues in the future.

Organisations often communicate with other organisations in order to help each other to increase sales. This can be related to both smaller and larger companies. For example, two small businesses in different regions of the country may communicate trends to one another as the trend expands; this is particularly helpful to businesses as trends tend to begin in the capital and spread outwards. This can help the businesses to prepare marketing and advertising strategies in order to try to find ways that will increase their sales. Two large businesses may communicate ideas in order to create new trends to try to increase their overall sales. For example Charities often communicate with other foundations to see the best merchandise to sell at specific times In order to increase revenue.

• Flow charts - these can be utilised in order to organise working procedures and are extremely useful for making the ‘flow of data’ more effective this can then improve the way that the data can be reassigned and used which can help an organisation to save time and money. There are two types of flowchart used in business these internal and external. An internal data flowchart outlines how data should be processed within an information system, whereas an external data flowchart tends to show how data is transferred between different
