• The Education Assistant will then contact potential trainers depending on the needs of the chapter or association, where the trainer lives and availability. Please respond to all requests and share your availability and interest as soon as possible. Even if you are unavailable or it us too far to travel, please provide a response. Any information given is helpful.
• Once the EME Trainer agrees to the suggested date, the Education Assistant will provide the trainer with the contact information of the respective chapter or association, workshop topic and any other background information necessary for the visit.
• The Education Assistant will communicate with chapters, associations, Kappa Leadership Conference contacts, and EME Trainers regarding

• Please talk with the chapter or association point of contact about arranging your housing. There are often rooms available at the chapter house or alumna’s home. The District Director, Content Specialists, or your point of contact for the chapter or association can connect you with alumnae in the area. It is the responsibility of the chapter or association to host trainers and provide a place for her to stay. If the chapter or association is unable to provide lodging, they become responsible for any related costs. The EME Trainer budget will not pay for hotel costs.
• After securing lodging with the hosting chapter or alumnae association and at least two and a half weeks prior to the visit, the EME Trainer should contact Diane Randolph at Century Travel to purchase an airline ticket. Her number is 877-775-7365. When calling Diane, please ask her to check Southwest Airlines as well. If the airline ticket is below $400, it will be approved by the Department of Education and Training and Diane will book the ticket. A. Educational Visit Report
• Should contain the objectives, anticipated outcome, outline of the workshop, highlights and successes, comments and further recommendations for the chapter or association as well as the facilitator.
• Any feedback on your visit outside of the workshops should be shared with the District Director and Content Specialists via email. Please copy the Education Assistant.
• This form is due to the Education Assistant two weeks after the visit.
B. Educational Visit Expense Form
• Should contain all expenses incurred for this visit. All expenses you are requesting reimbursements for should be accounted for in the expense section. Remember: o The EME Trainer grant only reimburses $25 for supplies unless special permission is granted. o A meal is reimbursed during travel hours if your travel time, flight or drive time meets or exceeds five hours. All other meals should be provided by the host chapter or alumnae association. During travel or drive time, the EME Trainer grant will reimburse up to $10 for breakfast, $10 for lunch and $15 for dinner including one non-alcoholic beverage per
