Internal data: is a data which is already in operation and it is stored within the organisation. For example: profit and loss statement, balance sheet, sales figures and inventory records.
While External of data: is the data which does not exist inside the company, but was brought by individuals from outside the organisation, for example: government sources, corporate filings and media, including broadcast, print and internet (Grimsley, Sources of Secondary Data, 2003-2015).
2. Formatting /processing: is when a data is organised for storage and display (Farlex, 2003-2015).

Information System: can be defined as software which helps to arrange and analyse data. It is made up of software, hardware, databases, network and procedures (Zandbergen, 2003-2015).
Three categories of information system are:
1. Operational level systems: is basically used for the purpose of tracking down fundamental activities and the primary transaction which occurs during the course of operation. This tracking makes helps managers to respond to routine questions such as how many hours did the staff work or where is the inventory (Wanda Thibodeaux, 2015).
2. Management level system: focuses on tactical decisions, it gathers and processes information from diverse sources that help managers develop new methods of operation which probably increase the size of productivity, removes problems completely, enhance customer service and profit
