A formal complaint is “a written complaint concerning the interpretation or application of a specific term or provision of department policy, or concerning a disciplinary act alleging that the application of such procedure or criteria was clearly erroneous, arbitrary, or capricious” (Pitt). Also, formal complaints involve discretionary decisions, which will be processed only with respect to whether or not recommended procedures and criteria were followed. Once the complaints have gone forward and the manager is aware, actions have to take place in order to punish the employee who did the wrongdoing. The first step for any manager to take is to console with the offender and give them a verbal warning. Of course it depends on how bad the offense was. For a minor offense talking to the offender directly and warning him or her not for that to happen again or other consequences will come into play. In other words, “the supervisor should discuss with the employee the nature of the problem or the violation of company policies and procedures” (SHRM). The supervisor is expected to clearly describe the expectations the employee needs to take in order to improve their overall performance and to resolve the problem.
