I was assigned as a Service Delivery Manager on a project to manage services related to QA Environment for one of the largest Retail Organization in Canada. I was very excited to get exposure to the Retail Industry. Soon after joining the project, as I started reviewing the financial, I recognized that there is huge backlog of Invoice payments from client due to the dispute. Some of the invoices were as old as 6 Months and total amount exceeded $2M. As the year was approaching to the end pressure started to mount to clear these payments to meet our revenue targets. I was not the only one facing this challenge other Service Delivery Managers in the account also had the same issue.
Main reason for the dispute was that some of the project sponsors on the client side were not able to reconcile the amount that was billed by IBM as IBM was billing at the contract level and not at project level (tracked by client). To add to the complexity IBM and client week start and end dates also did not match.

Having the spreadsheet and concept all handy I worked with my partner to fund a project that would automate the process of weekly reconciliation and generate invoices in the format that would ease client invoice reconciliation as well. The project was approved and implemented and has been in place ever since and there has been no incident of dispute due to reconciliation issue. Received Excellence Award from the client to having not only resolved the issue but providing process improvement for future billing as well saving lot of man hour in monthly
