1. Appointment setting: It is best to determine if the patient is a new or established patient when they call to make their appointment. If they are a new patient, office staff will know to ask for insurance information and if they are an established patient, the staff will likewise know to ask for any changes to on-file insurance information at the time of the appointment.

2. Check-in: This is when all needed personal and medical history is collected from the patient and insurance benefits and eligibility can be verified for the visit if that hasn't been done already. This is also the time to photocopy insurance cards and have the patient sign any necessary authorization forms for the release of medical information.
