Breonna has been with the company for about 3 years as a customer service support specialist. Her job is to file and assist with whatever else is needed by the customer representatives. She services three teams in customer service that currently have their own way of documentation retention. Documentation is retained through either paper or electric form.

The purpose of this project is develop one set of procedures for the three customer service teams as the customer service representative store documentation. Finding one documentation procedure so everyone the department would be on the same page.

What's the solution ?

A simple and less expensive solution is a step by step procedure guide on how to retain the documents

See if the documentation is in the correct area
Create a new log corresponding to whether or not the document is incoming or outgoing
Attach the document to the log, determine what the information is such as legal, updates etc.
One should attach and send the information log with all documentation to correct storage unit.
